How Our Referral Process Works

At Be Kind Counseling, we are dedicated to providing a safe and comfortable space for children, teens, and adults trying to navigate how to become their best selves. Our highly specialized and kind practitioners would love the chance to help you and your family – Grow Into Your Best Selves.

STEP 1: FILL OUT YOUR SELF-REFERRAL FORM

To get the process going we need some basic information. Please read the information on this page in its entirety. Once you have done so you will see the link to the self-referral form.

STEP 2: WE WILL SEND YOU A LINK TO OUR CLIENT PORTAL WHERE YOU WILL FILL OUT ALL THE INTAKE PAPERWORK

Once we receive your request for an appointment you will receive an email from our client portal where you will fill out all the intake paperwork. Once ALL forms are complete, we will match you up with the best therapist and will email you to set up an appointment.

STEP 3: CONFIRMING YOUR APPOINTMENT

Once we have received your completed paperwork, we will reach out to you within 24 business hours with your welcome email letting you know the open times for your therapist. You will need to respond which of the days and times given to you works best for you. Once you have done this you are DONE with the steps to get into seeing a therapist. We will see you at your first session.

Why do I have to fill out paperwork?

At Be Kind Counseling, we believe that to best serve you we must get as much information before you enroll, and during your diagnostic evaluation as possible. Rendering the correct diagnosis is essential to being able to provide you with effective treatment. A misdiagnosis could significantly hinder your ability to heal and thrive. It is legally required that a consent to treat has been signed, and for us to bill your insurance and you to receive your insurance benefits.

How long does it take to complete my paperwork?

You can expect to spend between 15-30 minutes completing your paperwork. If you are needing to come in and fill out the paperwork, please contact us at [email protected] to set up a time to fill it out in person. You will not be scheduled with a therapist until this is complete.

What happens if I do not complete my paperwork?

You will not be scheduled for an appointment. You will have 7 business days to complete the paperwork. If it is not completed, we will ask that you fill out another form to start the process over.

I am having trouble filling out my paperwork.
What do I do now?

The initial link to the portal is only good for 5 days. In this case you would need to contact us to resend the link, unless it is over 7 business days then you would need to start the process again. If you are still having issues completing the electronic paperwork our other option is to have you complete this in person as we can show you how to do this. How will I know the cost before I commit to therapy?

Once the paperwork is completed, we will verify your insurance benefits and then send out anestimated cost *per what your insurance has verified with us*. If you decide that due to cost, you do not wish to be seen, we will remove you and your information from our system.

Commonly Asked Questions 

Why do you require a credit card on file?

This is to ensure that we are paid for the service that you received. While ideally, we would wait until insurance processes our claim, we have found that it is easier for both clients and our practice to obtain any patient responsibly up front. This way when we take payment you know exactly what date of service it was for. Even if you do not have patient responsibly, we require credit card to bill any cancellation/no show fees. We do, however, offer weekly, biweekly, and monthly payment plans if needed. Please contact Jackie to set up prior to the first appointment.

How do you know what my insurance benefits are?

We obtain our quotes directly from your insurance and provide you with this information before your first appointment to prevent misunderstandings of coverage from happening. If you feel that what we quote you is not correct, we advise that you contact your insurance company for further information before the appointments begin. Please understand that it is your responsibility to know your insurance benefits and failure to seek out this information may lead to misunderstandings in the future of what is/is not covered and is not the responsibility of Be Kind Counseling to negotiate further with you on.

Do you offer self-pay rates?

Yes, we do offer self-pay rates. If you do not have insurance or have insurance we do not accept, we do allow you to pay cash. The initial session would be $208.00 and each session after would be $190.00 per session. Cash payments are due at the time of service.

I am calling the main office and having trouble getting through to a live person

Since we are a small practice, you may not get someone on the phone. We operate best via email. If you are calling to set up an initial appointment you will be directed to our website. When you call, be sure to leave a detailed voicemail and someone will return your call within 24-48 business hours. If you are experiencing a mental health or medical emergency, call 911 immediately!

None of the available therapists have appointment times that work for me, or the therapist I want is full. What now?

This means that unfortunately at this time, we may not be able to serve your needs. While this is unfortunate it does happen, we are happy to put you on a waitlist and note the times that you are wanting so when that time opens, we will contact you about setting up an appointment. We can also provide you with referral options of other providers in the community, if requested.

How often should I be seen as a new client?

It is typically best for you to attend a session once per week for the first 6 months during your initial treatment phase. We have found that creating a recurring appointment with your clinician is best practice. While that is typical it may not be necessary for your treatment and the ultimate decision will be between you and your therapist and will be determined at your first session. (Please note that you must be seen at least once per month).

How long is each session?

There are several types of sessions; however, the typical session lasts at least 45minutes. Here is a list of therapy services and times: 
 
Diagnostic Evaluations: 60-90 Minutes
Individual Session: 30-60 Minutes
Couples Session: 45-60 Minutes 
Family Session: 45-60 Minutes
Group Session: 45-90 Minutes
